The Musafir Diaries
Terms & Conditions · September 2026
We know terms and conditions aren't the most exciting part of planning a trip. They're here so the important things are clear.
About these terms
The Musafir Diaries helps travellers explore and plan journeys through Himachal Pradesh and other destinations offered through our services. Depending on your trip, your journey may involve independent accommodation providers, transportation operators, activity providers and other third-party services.
These Terms & Conditions describe the general basis on which enquiries, bookings, payments, travel arrangements and related services are handled. Some journeys may also have specific terms or supplier conditions that apply to that particular booking.
We want the important details of your journey to be understood before you travel.
A smooth trip works best when both the traveller and the travel business know their responsibilities.
Mountain travel can change with weather, roads, availability and local circumstances.

01
Every journey starts with a conversation. A travel enquiry helps us understand what you are looking for, but a booking is confirmed only after the necessary arrangements and requirements have been completed.
Submitting an enquiry, contacting us through the website, WhatsApp, phone or another channel does not by itself create a confirmed booking.
A journey is subject to availability of the relevant accommodation, transportation and other services required for the itinerary.
A booking becomes confirmed only after the required arrangements have been agreed and the applicable booking or payment requirements have been completed.
Travellers are responsible for providing accurate information needed to arrange their journey, including names, contact details, travel dates and other relevant requirements.
Specific booking conditions may also apply to an individual package, accommodation provider, transport operator or other service included in your journey.
02
Travel pricing depends on the services selected, availability and the arrangements required for a particular journey.
Prices displayed on the website are provided for the relevant package or service and may be subject to availability, selected options and the final arrangements agreed with the traveller.
Inclusions and exclusions should be reviewed carefully before confirming a journey. Services not specifically identified as included should not be assumed to be part of the package.
Travel prices may change because of supplier availability, accommodation rates, transportation costs, seasonal conditions or other operational factors before a booking is confirmed.
Any applicable taxes, fees, permits, activities, personal expenses or other charges should be understood from the specific quotation or booking information provided for your journey.
Where a personalised quotation is provided, the terms, inclusions and price communicated in that quotation should be reviewed alongside these general Terms & Conditions.
03
Payment requirements can vary depending on the journey, suppliers involved and booking arrangements.
A booking may require an advance payment, partial payment or full payment depending on the journey and the arrangements agreed with the traveller.
Where a specific payment deadline applies, it will be communicated as part of the relevant booking or quotation.
Travellers should retain relevant payment confirmations, receipts or transaction records for their own reference.
Important
Exact advance-payment amounts, balance-payment deadlines and payment methods should be confirmed in the booking information provided for the specific journey. These details may vary and should not be assumed from a general website description.
04
Cancellation terms can vary significantly between journeys because different travel services may have different supplier policies.
If you need to cancel a confirmed journey, please contact us as soon as possible. Any refund or cancellation charge will depend on the booking terms and the services already arranged.
Refund eligibility may be affected by the cancellation policies of hotels, transport operators, activity providers or other suppliers involved in the journey.
Certain services or charges may be non-refundable once confirmed or used. The applicable conditions should be communicated as part of the relevant booking.
Client-specific policy required: The final version of this section should be updated with The Musafir Diaries' actual cancellation slabs, rescheduling rules, refund process and applicable non-refundable charges before accepting paid bookings.
05
Himalayan travel does not always follow a perfectly predictable schedule. We aim to deliver the agreed travel experience while recognising that conditions can require practical changes.
The itinerary provided for a journey represents the planned travel experience and may include destinations, activities, accommodation and transportation arrangements.
Routes, timings, activities, accommodation or other itinerary elements may need to change because of availability, weather, road conditions, operational requirements or circumstances outside reasonable control.
Where a change is reasonably necessary for traveller safety or practical operation of the journey, the itinerary may be adjusted accordingly.
If an itinerary element cannot reasonably be provided, we will aim to communicate the change and, where appropriate, work towards a practical alternative.
06
Accommodation is an important part of a journey, but individual properties may operate under their own policies and availability.
Accommodation may be arranged through hotels, resorts, homestays, camps or other properties depending on the journey and availability.
Room types, occupancy, bedding and other accommodation details are subject to the property and the arrangements confirmed for the booking.
Individual accommodation providers may have their own check-in, check-out, cancellation, child, identification and other policies.
Where a particular property has additional conditions, those conditions may also apply to your stay and should be reviewed before travel.
07
Road travel through the mountains can be affected by conditions that are outside anyone's control. We plan transportation carefully while recognising that actual travel conditions may vary.
Transportation may be provided or arranged through independent drivers, operators or other transport providers depending on the journey.
Routes may change because of road conditions, traffic restrictions, weather, local authority decisions, maintenance or other circumstances.
Travel times are estimates and may be affected by traffic, weather, road conditions, checkpoints, local events or other factors.
08
A good journey is a shared responsibility. Travellers are expected to act reasonably and provide the information needed to plan and operate their trip safely.
Travellers should provide accurate and complete information needed to arrange and operate their journey.
Travellers are expected to follow reasonable instructions from travel coordinators, drivers, guides, accommodation providers and local authorities.
Travellers should behave responsibly, respect local communities and follow applicable laws, property rules and environmental guidelines.
Travellers should take reasonable care of their personal belongings and important documents during the journey. Unless otherwise required by applicable law or a specific supplier arrangement, personal belongings remain the traveller's responsibility.
09
Some journeys may require identification, permits or other documentation. Requirements can vary by destination, route and activity.
Travellers should carry valid identification and any documents reasonably required for the services included in their journey.
Certain destinations or activities may require permits, permissions or other documentation. Where applicable, the relevant requirements should be confirmed before travel.
Travellers are responsible for ensuring that their personal documents are valid, accurate and available when required.
Before departure
Check the documents required for your particular destination and journey before you travel.
10
Himachal and Himalayan travel comes with conditions that cannot always be predicted or controlled. We plan responsibly, but no itinerary can guarantee that every route, activity or timing will remain unchanged.
Snowfall, rainfall, storms, extreme temperatures and other weather conditions can affect travel plans and activities.
Road closures, landslides, traffic restrictions, construction, vehicle access and other local conditions may affect routes and travel times.
Government authorities, local administrations, property operators or transport providers may impose restrictions or changes that affect a journey.
Mountain travel can involve terrain, altitude, changing conditions and longer or less predictable travel times than ordinary road journeys.
Where conditions make a planned route or activity impractical or unsafe, reasonable changes may be made to protect travellers and keep the journey operational.
11
Some parts of a journey may be delivered by independent businesses or service providers. Their own terms, policies and operating conditions may apply to the services they provide.
Hotels, resorts, homestays, camps and other accommodation businesses may provide services included in your journey.
Drivers, vehicle operators and other transportation providers may be involved in delivering the transportation arrangements.
Guides, activity operators and local experience providers may independently deliver specific activities or experiences.
Where applicable, payments may be processed through third-party payment services subject to their own terms and policies.
Where a third-party provider has its own cancellation, check-in, identification, safety or other conditions, those conditions may also apply to the relevant service.
12
We aim to arrange journeys carefully and communicate important changes, while recognising that travel—particularly in mountainous regions—can involve risks and circumstances that cannot always be controlled.
Actual travel conditions can differ from plans because of weather, roads, traffic, supplier availability, local restrictions and other circumstances.
Where an independent provider delivers a service, that provider may be responsible for the direct operation of its own service, subject to applicable law and the relevant arrangements.
We aim to coordinate and communicate travel arrangements responsibly, but circumstances outside our reasonable control may affect the delivery of a journey.
Nothing in these Terms & Conditions is intended to exclude or limit any liability that cannot lawfully be excluded or limited under applicable law.
13
Some events are outside the reasonable control of a travel business and may make a planned journey impossible, unsafe or materially different from the original plan.
Heavy snowfall, extreme rainfall, storms, extreme temperatures or other severe weather conditions.
Landslides, road closures, traffic restrictions, blocked routes, infrastructure issues or unexpected access restrictions.
Orders, restrictions, closures or decisions made by government authorities, local administrations or other competent bodies.
Natural disasters, major disruptions, strikes, civil disturbance, emergencies or other circumstances beyond reasonable control.
When circumstances change
We may need to modify, delay, reroute or otherwise adjust a journey when circumstances make the original arrangement impractical or unsafe.
Where reasonably possible, we will communicate material changes and work towards a practical alternative.
